Terms of Service
These terms govern use of WeaverKeep, software operated by Soulwire Studio. By signing in to WeaverKeep or signing an order for it, the college and its users agree to what follows.
Who the customer is
The customer is the college or institution that orders WeaverKeep, not the individual using it. Users sign in under their institution's account, and their institution decides who has access and what data goes in.
What we provide
Access to WeaverKeep for the term the institution has paid for, along with the modules covered by their order: outcomes tracking, student roster, survey outreach, clinical rotations and capacity, advisory committee meetings, inventory, graduation and events, accreditation reporting, site evaluation planning, tasks, documents, and calendar.
We maintain the service, fix defects, and improve it over time. Features may change. If we remove a capability an institution depends on, we give at least sixty days' notice.
Who owns the data
The institution owns everything it puts into WeaverKeep. We do not claim ownership of institutional records, and we use them only to operate the service, as described in the Privacy Policy.
Institutions can export their data at any time while their agreement is active, and for sixty days after it ends.
Acceptable use
Do not use WeaverKeep to store data it was not built for, attempt to breach its security, resell access, or reverse engineer it. Do not enter categories of sensitive data the service does not collect, including Social Security numbers, dates of birth, medical records, or financial account numbers.
Each user account belongs to one person. Do not share credentials.
Availability
We aim for continuous availability, and we schedule maintenance outside U.S. business hours where possible. We do not guarantee uninterrupted service, and we may take the service down briefly for urgent security work.
Fees and term
Fees, term length, and renewal are set in the institution's order or agreement. Unless that document says otherwise, terms renew annually, and either party can decline renewal with thirty days' notice before the term ends.
Ending the agreement
Either party may end the agreement for material breach that stays unfixed thirty days after written notice. When an agreement ends, access stops, the institution has sixty days to export its records, and we then delete them permanently and confirm the deletion in writing.
Accreditation outcomes
WeaverKeep calculates outcomes and assembles reporting evidence from what the institution enters. It is a tool, not a guarantee. Accreditation decisions rest with the accrediting body, and responsibility for the accuracy and submission of reports stays with the institution.
Warranties and liability
We provide the service with reasonable skill and care. Beyond that, WeaverKeep is provided as is, without further warranty. Neither party is liable for indirect or consequential damages, and our total liability is limited to the fees the institution paid in the twelve months before the claim.
Changes to these terms
If we change these terms in a way that materially affects an institution's rights, we notify them before the change takes effect. Continued use after that date means acceptance.
Governing law
These terms are governed by the laws of the State of Texas, without regard to conflict of law rules.
